Keep the core escort team small
A crowded survey route creates noise, inconsistent answers, and operational disruption. Designate a core lead who understands the survey process, a life-safety technical lead who knows the buildings and systems, and a documentation coordinator who can retrieve controlled records without abandoning the group. Standardize how the team communicates
Answer the question asked with verified facts. If the answer is unknown, identify the person or record that can resolve it and follow through; do not guess, argue, conceal an open item, or volunteer unrelated speculation. Keep side conversations away from the survey route. Record locations, documents, and commitments in real time. When the team believes a condition has been misunderstood, provide concise source-based evidence through the survey lead and respect the governing survey process. Professional interaction supports credibility but does not change the technical requirement.137
Rehearse handoffs and preserve continuity
Run drills that include entrance activities, drawing orientation, field tracing, document requests, parallel questions, shift changes, and the exit conference. Test the backup roster and after-hours contact path. Maintain a shared issue and request log so a new escort can understand what was observed and promised. After each survey day, reconcile notes, outstanding requests, immediate safety actions, and factual evidence without altering records. The strongest escort team is an extension of continuous readiness: roles, knowledge, and documentation work before the survey, not only during it.1678
